At a Belgian venue, a customer may read one language, hear an explanation in another and receive support from a third member of staff. A technically connected power-bank cabinet can still feel unreliable if those people describe different prices or return rules. The solution begins with an agreed meaning and a named owner for each task.
Create a station language and responsibility card
Prepare a short handover card for the actual team. Use Dutch, French, German or other languages appropriate to the venue and its audience; obtain any required local review rather than declaring that one translation satisfies every obligation. The card should explain the service in consistent language, even when staff use different words.
CoreCharge’s matched WisePad 3 route places the native Android application and Terminal SDK inside the rental cabinet. The reader uses the agreed USB connection; an external staff phone is not the payment host. CoreCharge joins orders, dispensing, returns and pricing, while Stripe processes payment into the operator’s own local account.
| Customer question | Meaning to agree | Responsible person |
|---|---|---|
| What does borrowing cost? | The actual EUR tariff, timing and any cap. | Operator approves; shift staff explain. |
| Why is a larger amount pending? | The verified authorization or payment state. | Operator checks; staff use approved wording. |
| Where can I return? | The agreed return network and access hours. | Venue confirms access; operator maintains the list. |
| Why did the reader ask again? | Follow the current reader prompt without creating repeated rentals. | Staff assist; technical support handles unresolved faults. |
| How do I get help? | Station code, support route and available order reference. | A named contact for each operating shift. |
Check the Belgian payment route separately
Stripe lists WisePad 3 for Belgium and specifies EUR transactions with a matching Belgian receiving account and reader Location. The operator normally purchases and registers its reader through its own eligible Belgian Stripe account. Record the correct owner; a venue brand printed on the cabinet is not a payment-account identifier.
Stripe also describes support for co-branded Bancontact cards over their co-brand rails. Do not translate that into a claim that every domestic Bancontact service or card is enabled. Agree the accepted methods and test representative supported cards under the chosen rental flow before staff advertise them.
Approve words at the point where they appear
Review the cabinet’s start instructions, price panel, reader prompts, return message and support wording as separate touchpoints. Changing a reader’s language does not translate every cabinet screen or printed sign. Check the meaning of authorization, charge, release and refund carefully; these are different financial events.
If an email receipt route is included, verify how the address is collected and how the receipt is triggered in the actual configuration. Do not promise that every tap automatically sends an email. Guests should be told the available receipt route and where to request assistance.
The French customer-journey guide offers a useful translation review method. Pair it with the project responsibility guide when several suppliers or venue teams participate.
Use a two-person rehearsal
Ask one person to act as a first-time customer and another as the shift contact. The customer reads the price, presents a supported card, removes the identified bank and completes a return. The contact explains the outcome using the handover card, then locates the station and order through the agreed operating access.
Repeat a cancelled or declined attempt in the appropriate test environment. Record any wording that encouraged unnecessary repeated tapping or suggested a successful rental before a bank was released. Keep payment references and device events separate enough to investigate, while linking them to the same order.
Keep the card current between shifts
Version the handover card whenever prices, return hours or support contacts change. Store the approved copy where the actual team can reach it. Staff reporting a problem should give the station code and observed symptom, not collect a customer’s full card details.
Before opening, confirm reader suitability, equipment requirements and the intended staffed or self-service setting. Explore CoreCharge’s reader-ready cabinets, or request a Belgian station handover outline with your venue languages and shift structure.
