The cabinet stays at the same German venue, but another business will operate it. That can look like a simple contact change until an earlier guest asks about a charge, an open rental returns to the station or the new operator discovers that payments still belong to the former merchant.
Prepare an operator-change ledger before altering the live configuration. Separate ownership of the cabinet from ownership of the rental business and the Stripe account. Moving equipment or changing a dashboard label should not be presented as transferring a payment account.
Define what is actually changing
Is a service contractor changing, is the venue appointing a new rental operator, or is the operating business itself being sold? Those situations need different decisions. Record the intended legal business, payment owner, equipment owner and customer-support owner, then have the relevant parties confirm the scope.
Stripe’s business-sale and account-transfer guidance says to contact Stripe Support to confirm the required information changes. Do not treat a rental-platform configuration task as authorization to transfer an account. Any proposed business transfer follows the appropriate Stripe and professional review.
| Ledger section | Question before cutover | Evidence required to reopen |
|---|---|---|
| Physical assets | Who owns the cabinet, reader and battery stock? | Agreed inventory and custody record |
| Payment merchant | Which eligible business will receive new rental payments? | Approved account and local Location configuration |
| Earlier rentals | Who remains responsible for outstanding orders and adjustments? | Named owner and retained original references |
| Reader assignment | What registration or replacement process is permitted? | Confirmed reader identity and supported onboarding result |
| Platform permissions | Who may see records and operate the replacement setup? | Reviewed access and tested role scope |
| Customer information | Which business and support route are shown after the change? | Approved tariff, contact and guest-facing information |
Keep earlier obligations visible
Identify open rentals and unresolved payment issues before the agreed cutoff. Record which business handles a later return, cancellation, refund request or dispute for an earlier payment. Do not erase the original merchant reference or assume that a new account can perform every action against a transaction created elsewhere.
Retain history under the agreed access and data-handling arrangements. The new operator may need operational context without unrestricted access to the former business’s financial records. Agree what can be shared and by whom. A change ledger can coordinate that work without claiming a native automatic migration or cross-merchant settlement feature.
Onboard the intended German configuration deliberately
Stripe’s Germany guidance specifies EUR Terminal payments with the appropriate German receiving account and local reader Location, with WisePad 3 listed. Confirm the new operator’s eligibility, reader procurement and registration route directly. Do not assume moving a previously used reader between accounts is a simple plug-and-play step.
CoreCharge’s matched cabinet route runs the native Android application and Terminal SDK on the internal controller. WisePad 3 is the physical reader, without an external cashier phone as the ordinary host. CoreCharge connects orders, dispensing, return and pricing; Stripe processes new rental payments into the approved operator account.
Use a controlled cutover, not a historical rewrite
Agree how new borrowing is paused while the configuration changes and how legitimate returns remain supported. Verify the effect of the actual procedure instead of assuming a universal scheduled shutdown function. Document the cutoff time and the people responsible for issues spanning the change.
The German responsibility guide helps assign the parties. The venue operating annex helps distinguish record access, commercial entitlement and actual payments when the partnership changes.
Before reopening, verify the displayed business details, intended account and reader, a legitimate rental, physical release, return and final financial result. Confirm suitability for the venue’s intended operating setting separately. Review the CoreCharge reader-ready route, or request a German operator-change worksheet describing the current and proposed responsibilities.
