The final conference session ends, visitors collect their bags, and several rented power banks are still outside the cabinets. That is the wrong moment to decide who remains on site or where returns will be accepted. A Luxembourg event deployment needs an operating plan that covers the hours after the audience begins to leave.
Start with a service sheet owned jointly by the rental operator and the event contact. It should describe when borrowing opens, where returns remain possible and who can investigate an unresolved order. Treat these as staffed procedures to agree, rather than assumed automatic scheduling features.
Confirm the local payment and cabinet combination
Stripe’s Luxembourg guidance lists WisePad 3 and EUR Terminal payments with the appropriate Luxembourg receiving account and local reader Location. The operator normally buys and registers the reader through its own eligible Stripe account. Confirm the proposed attended or semi-attended event installation; technical integration does not establish blanket permission for fully unattended use.
In CoreCharge’s matched configuration, the native Android rental application and Terminal SDK run on the controller inside the cabinet. WisePad 3 handles the card interaction through the agreed data connection, without an external phone or tablet as the normal payment host. Stripe processes funds into the operator’s account; CoreCharge connects payment, order, dispensing, return and rental calculation.
Give the day four handovers
| Phase | Named responsibility | Record to retain |
|---|---|---|
| Before doors open | Operator checks connectivity, charged stock, reader and prices | Station identifiers, test rental and opening inventory |
| During sessions | Event contact keeps approach and return slots accessible | Observed stock shortages, queues and support incidents |
| Before the final session ends | Operator and organizer confirm the approved closing procedure | Borrowing cutoff, remaining return access and staff contact |
| After public activity ends | Authorized operator reviews open rentals and equipment | Returned stock, open orders, unresolved payments and asset handover |
Use actual event times in the working version. A room may close before the main building, and a desk may be dismantled while the reception remains staffed. The published return instructions need to follow those physical conditions. Do not promise a return location simply because it appears on the original floor plan.
Prepare for visitors who did not attend the briefing
Place the price, charging interval, any authorization explanation and return directions where a guest can read them before presenting a card. Choose languages for the actual conference audience and have a competent reviewer check them. A reader language setting does not translate the rental policy or the event signage.
Before opening, ask someone unfamiliar with the project to complete a controlled rental. Watch whether they can find the card reader, identify the released battery and explain where they would return it. Use the full rental validation matrix for the technical sequence, then add the event’s access and staffing conditions.
Close the service without losing the evidence
At the agreed cutoff, staff follow the approved method for ending new borrowing and verify its effect. They should not remove a station merely because most guests have gone. First confirm the remaining return arrangement, identify open rentals and give the support team the relevant station and order references.
Record physical stock separately from completed orders. A battery in a box is not evidence that the associated return was recognized. Likewise, an open authorization is not automatically a refund problem. Match the observed equipment state, rental record and payment result before an authorized person takes a financial action.
Finally, record who receives the cabinet, reader, cables and remaining batteries. The daily operations guide provides a useful reconciliation foundation. Add an event closeout page listing unresolved items and their next owner so they do not disappear between the organizer and operator.
For a proposed Luxembourg event, review the CoreCharge reader-ready solution and send the event schedule, venue access hours and intended station count. Those inputs allow an opening and closeout plan to be prepared alongside the equipment configuration.
