A venue manager leaves, but the station keeps operating. That is useful for customers and easy for the operator to overlook: the former manager may still appear on a contact sheet, retain a dashboard login or remain the person everyone asks to approve a price change. A personnel change should trigger an access review alongside the shift handover.
For a Spanish power-bank rental operation, prepare a departure worksheet that covers people, duties and separate systems. The worksheet is a proposed administrative practice. It does not imply that CoreCharge automatically detects employee departures, synchronizes Stripe roles or runs a native approval audit.
List systems rather than collecting passwords
Identify the departing person’s actual responsibilities and individual access. Separate the rental dashboard from Stripe, venue email, shared documents and technical support channels. Knowing a cabinet’s station code is different from permission to change pricing or initiate a financial action.
| Access area | Departure review | Evidence to retain |
|---|---|---|
| CoreCharge operator access | Remove duties that are no longer authorized through the supported administration process | Authorized administrator and verified access outcome |
| Venue dashboard role | Check scope against the replacement person’s actual job | Station scope and tasks the role may perform |
| Stripe team membership | Have the account administrator review separate Stripe permissions | Membership decision and responsible account owner |
| Support contacts | Replace obsolete names in the local escalation procedure | New first responder and financial approver |
| Shared records | Retain business records under the operator’s access policy | Location of open cases and handover owner |
| Technical credentials | Review exposure with the authorized technical owner | Any agreed credential action and service verification |
Transfer the work without sharing an administrator account
Give the incoming contact the minimum supported role needed for their tasks, then verify it. Ask them to locate the assigned station and report an issue. If they only need to assist guests, do not treat that as a reason for unrestricted payment access. Where an administration action is not available to the local operator, request the agreed technical support process.
Stripe maintains its own team-member roles and access controls. A change in a CoreCharge venue role does not automatically change membership in Stripe. Have the authorized owner check each system separately, including whether any former access remains effective.
Protect open customer issues during the handover
List unresolved returns, uncertain payments, pending customer replies and scheduled site work. Assign a new owner to each item without copying unnecessary customer or card information. Preserve relevant order and payment references; removing a staff member should not be confused with deleting the business history needed to resolve a guest’s case.
The venue operating-annex guide helps separate data visibility from commercial payment authority. The venue responsibility card is useful when updating the instructions staff use across shifts.
Keep the Spanish payment owner unchanged unless deliberately reviewed
Stripe’s Spain guidance provides the local account, Location and EUR framework, with WisePad 3 listed. The operator normally buys and registers the reader through its own eligible Spanish Stripe account. A receptionist’s departure does not by itself change the merchant receiving rental payments.
CoreCharge’s matched setup runs the native Android application and Terminal SDK inside the cabinet. The physical reader uses the agreed connection, without an external cashier phone as the ordinary host. CoreCharge links orders, dispensing, return, pricing and dashboard records; Stripe processes payments into the operator’s account.
Finish with a test of the new responsibility map
Ask the replacement contact to follow the current issue-reporting procedure and identify who can approve a refund or pricing change. Confirm the guest-facing support information. Recheck the relevant service after any technical credential change, and keep the installation’s intended operating conditions under the normal project review.
Review the CoreCharge reader station route, or request a Spanish operator-and-venue access worksheet. Start with the duties each person actually needs, rather than reproducing the departing employee’s permissions.
References and project scope
Technical references checked on 17 October 2026. The operating procedures above are planning guidance; hardware, account access and payment settings are confirmed for each deployment.
